We reply within one business day. Telling us the email address on your account and, if relevant, the connected mailbox that is misbehaving gets you a useful answer much faster.

Getting started

  1. Connect a mailbox. Go Banana Mail works with Gmail, Outlook, and any provider that supports IMAP and SMTP. If your provider uses two-factor authentication you will need an app password rather than your login password.
  2. Build a knowledge base. Write entries directly, or upload documents (PDF, DOCX, TXT, Markdown) and we will turn them into question-and-answer pairs for you to review.
  3. Link the knowledge base to the account. This is what the AI draws on when drafting. Without it, drafts will be generic.
  4. Choose review or auto-send. New accounts start in review mode — drafts wait for your approval. Turn on auto-response per account only when you trust the output.

Troubleshooting

My emails aren't syncing

  • Open Accounts and check the account's sync status. An Error state usually means the mail server rejected our connection.
  • If you use Gmail or Outlook with two-factor authentication, you need an app password — your normal account password will be refused by the provider.
  • Re-enter your IMAP and SMTP details; we re-test the connection on save and show you exactly which one failed.
  • New accounts sync within a few minutes. Historical email arrives separately via backfill, which can take longer on large mailboxes.

No AI drafts are being generated

  • Check your monthly response quota on the Subscription page. When it is exhausted, drafting pauses until your billing period resets.
  • Not every email gets a draft by design — the AI skips newsletters, automated notifications, and messages that plainly need no reply.
  • Make sure at least one knowledge base is linked to that email account. Without one the AI has no context to answer from.

Replies are sending when I didn't approve them

  • Auto-send is per account. Open Accounts and turn off auto-response for that address to put it back into review mode.
  • In review mode drafts wait in Drafts until you approve them, and nothing leaves your mailbox without your click.

The AI's replies don't sound like me

  • Add more to your knowledge base — real past replies and FAQs work far better than abstract instructions.
  • Edit a draft before approving it. Editing is always available and never blocks sending.
  • Uploaded documents are turned into question-and-answer pairs that you review before they take effect, so you can delete anything that reads wrong.

I've hit my monthly limit

  • Your quota resets at the start of each billing period.
  • You can buy an add-on block of extra emails, which is a one-time purchase that never expires and is used only after your monthly quota runs out.
  • Upgrading your plan raises the limit immediately.

Manage your plan, payment method, and invoices from the Subscription page in the app. You can cancel at any time and keep access until the end of the period you have paid for. For billing questions we cannot answer in the app, email support@gobananamail.com.

Your account and data

You can delete your account at any time from Settings → Delete Account. Deleting stops all email syncing and AI replies immediately and cancels any active subscription. Your data is held for 30 days so you can change your mind, then permanently erased.
